Custom report template - Active casework

The My Reports feature allows company users to build custom reports that will be saved in this section. Once the report is built, it will live in the My Reports tab where the data is automatically refreshed daily. Reports can be added, edited or removed any time for future reference. This feature is designed to provide users with the flexibility to build reports that support their specific immigration program allowing for robust reporting capabilities.

If you are looking to build a custom report that includes all of your company's active casework, you can get started in My Reports by using the below template. Please note that Division Administrators will only be able to view casework that pertains to the divisions that they have access to. 

Account Permissions: Company users (Company Administrators, Division Administrators, and Analytics users)

Active casework template

To build an active cases report in My Reports, follow the below steps. We recommend using the data fields exactly as they appear in the template. 

  1. Go to the Analytics tile from the company home page.
  2. Click on the My Reports tab. 
  3. Select Build Custom Report.
  4. From the left menu, enter the below measures into the Find columns search bar. Select the measure checkbox, then click the filter icon to apply the correct filter. Then, select Apply.
    1. Employee Active Flag - Filter: 'Yes'
    2. Current Case Status - Filter: Exclude 'Cancelled', 'Completed'
    3. Case Jurisdiction Country - Filter: Select applicable countries (To see only U.S. inbound casework, select Include: United States; to see only international casework, select Exclude: United States)
  5. Enter the following data fields exactly as they appear below into the top Search bar. Click on the data field to add it as a column to the report. 
    1. Division Name
    2. Employee Account Number
    3. Employee Full Name
    4. Case Number
    5. Case Name
    6. Case Opened Date_Filter (once this data field is added, then type 'daily' next to it, to ensure you can filter it by date once the report is built)
    7. Current Case Status
    8. Days Spent in Status
    9. All HR Action Items
    10. All Employee Action Items
    11. On Hold Reason

For U.S. inbound casework, include these additional data fields: 

  1. Is_Premium (this is a yes/no flag on whether Premium Processing is added to the case)
  2. RFE Due Date_Filter (once this data field is added, then type 'daily' next to it, to ensure you can filter it by date once the report is built)
  3. Employee Visa Status
  4. Employee Status Expiration Date_Filter (once this data field is added, then type 'daily' next to it, to ensure you can filter it by date once the report is built)
  5. Max-Out Date

For international casework, include these additional data fields: 

  1. Case Jurisdiction Country
  2. Case Country Region
  3. Case Notes
  4. Case Preparer

6. Click Go. 

Important Notice
Reports in this section refresh once daily, so updates to data may be slightly delayed.

Editing headers, formatting, and sorting

To edit the header of a column, simply click on the header and edit the text. To save the change, click off of the header and it will save automatically. Once a header is updated, it will reflect on the report moving forward, but it will not change the name of the corresponding data field. 

To rearrange columns, drag the column to the desired location. 

To sort a column on the report, click on the header and sort options will appear. For more complex filtering and sorting capabilities, we recommend downloading the report from three dots (edit option) to edit it using Excel or another program. 

Sharing custom reports

Reports built in this feature can be shared with any colleagues who have Company Administrator, Division Administrator, or Analytics user roles. To share a report, follow the below steps: 

  1. Click the three dots at the top of the report and select Share. 
  2. Enter the email address of the user you would like to share the report with. 
  3. Select their editing permission Can View or Can Edit. 
  4. Click Share.

They will receive an email notification that the report was shared with them. When they log into the Envoy Global platform, the report will appear under the My Reports tab.

Please note that users with Division Administrators access will only be able to data relevant to the divisions that they have access to.
