As a first step for employee users, we recommend setting up your account profile. Information from this section will automatically populate into any new cases when they are opened in your account, so please review this tab to ensure everything is correct and up to date.

If you have not already watched our introductory video on navigating the Envoy Global platform, please read this article first. 

There are five main sections within your Account profile, and we encourage you to review and ensure they are always updated. 

• Personal Information: Provide your basic information and your residential address.
  💡 If your residential address recently changed, learn more about the steps you need to take to notify of a Change of Address.
• Job Information: Reflects the details of your current position. Your employer is responsible for making any updates to this information; however, this section is visible for your review.
• Visa Status: Confirm your current immigration status information. If you need to update your status information, upload the correct status document to the Document Library and post a message to the legal team in the Communication Center. 
• Identification: Prompts for passport details. You may add passport details for multiple passports if applicable.
• I-94 Travel Log: Applicable for U.S.-inbound applicants. If you have a U.S.-inbound visa status and have completed the Visa Status and Identification sections, then this section will become available.

When all the relevant information is saved, this section will enable links directly to the USCBP website so that you can import your travel history and any updated I-94. If you have a Global status, then this feature would not appear for you.

Employers have the ability to open most new cases for their employees on their own. A case is required for the legal team to prepare the petition for a non-immigrant or permanent filing to be processed by the government. 

We've provided step-by-step instructions on how company users can open a case in the Envoy Global platform for U.S. inbound employees and employees traveling internationally.

United States inbound cases

If you need to sponsor an employee who is planning to work in the United States and has never been sponsored by the company before, we recommend first completing a Talent Assessment. The Talent Assessment will provide guidance on the correct case to open. If the employee has been sponsored before but requires a new case or an extension, you can proceed to opening a case. 

For support with opening a case, please contact your Account Management team. 

1. Select the Create+ button on the top-right hand side of the home screen and select New Case.

   

2. On the next page, Choose the employee. Note: To create a new employee, select the “+ Add new employee” link from the Search Employees drop-down menu.

   

3. Select the Visa type and select Continue. Click 'Other' to search for all visa types. 
   
    

   

4. On the next page, answer case-specific questions to determine the correct case type and workflow. Click Continue. Note: Some of these questions will be pre-populated based on the Division details. 

   
5. On the final page, review the People on the case to ensure the signatory and point of contact are correct. If additional add ons are offered for the case, such as premium processing, then you will have the option to add them here.
6. The total bill for the case will be presented, which we recommend reviewing before clicking 'Confirm & Open.'

International cases 

If you need to sponsor an employee who is travelling internationally outside the U.S., your company will first need to complete a Global Assessment. It is critical that our regional teams review the employee's basic information including country of citizenship, country of birth, work requirements and timeline, before making a recommendation on which case to open. Once the assessment is complete, a case recommendation will be provided and your company can determine if they would like to proceed.

A case questionnaire is generated for each case opened in the Envoy Global platform to ensure the legal team has the necessary preliminary information to begin preparing the case. Information will be requested from the employee and other parties, including the sponsoring employer, if applicable. The case questionnaire must be completed to 100% and submitted to the legal team's review before they can begin preparing the case. 

💡 For the best experience, complete the case questionnaire using a desktop browser. The questionnaire is not currently supported on the Envoy mobile app. 

We ask that employees complete the questionnaire to the best of their ability, and upload as many documents which apply to the case. The legal team uses the questionnaire to gather preliminary information to begin preparing the case. If they have questions on the information provided or need additional information, employees will be notified.

💡 Look for the “i” information icon to learn more about how to answer the question. If employees still require support to answer the question, contact Envoy Customer Experience.

Help text provided in the “i” information icon will provide additional details on how to answer the question or where to find a document. If the legal team has any questions after their initial review, the employee will be notified.

Questions that are not applicable

Employees can enter “Not Applicable” if there is a question that does not apply to their situation. If a field contains text restrictions, such as a date or numerical value, please enter null information.

The legal team will review any information indicated with null information and will contact you directly if they have any questions. 

Submit the case to the legal team’s review

Once all information is provided to 100%, then the employee will see the option to submit the case to the legal team's review. However, if action is needed from another party, then the option will not appear. 

💡Employees will receive an email notification from noreply@envoyglobal.com when the case is submitted to the legal team’s review to begin case preparation. Learn more about Envoy case status updates such as the Initial Information Gathering and Attorney Review.

For most cases, an employer portion of the case questionnaire must be completed. The case questionnaire is designed to ensure all information provided is secure and organized. One of the many benefits of the questionnaire is once you've provided the information once, it will populate most information into future questionnaires. 

💡The legal team will not begin case preparation until the case questionnaire have been completed to 100% by the employer and sponsored employee and the case has been submitted to the legal team's review. 

1. Navigate to the respective case where you'll land on the case questionnaire. Complete the required sections by clicking the Work on Section button.

2. Answer the questions and upload any required documents. Some questions or sections will be pre-populated based on previous answers.

    
3. Once and the sponsored employee have have completed the questionnaire to 100%, return to the Case Overview page. Next to Action Needed, select the link “Submit to Attorney Review” to submit the questionnaire to the legal team for review.

Once the case has been submitted to the legal team, they will begin case preparation. When additional action is needed on the case or when there are updates, the progress will be updated on the case timeline. 

The Communication Center is a secure, consolidated space in the Envoy Global platform for you, your employer, and the legal team to discuss legal inquiries pertaining to casework or other immigration matters. You can access the Communication Center from any page in your account using the Message icon.

💡 Example of legal questions include upcoming international travel, upcoming expirations, immigration status, type of casework needed, determining if dependent casework is needed.

Create a new post

1. Click Create a New Post to begin drafting your message to the legal team.
2. Select message type to specify if your question is related to a specific case or is a general U.S.-inbound or Global inquiry.
3. Select subject matter to identify the reason for your message.
4. If applicable, choose the case that you have a question on.

5. Compose your message with as much detail as the legal team needs to answer the question. For example, if you have a question regarding upcoming travel include details on travel location, dates, etc.

   
   

Receiving a response from the legal team

When the legal team responds to a legal inquiry posted to the Communication Center, you’ll receive an email notification. If you have additional questions on the same topic, you can respond to the thread. If you have a question on a different topic or case, we encourage you to start a new thread to organize the conversation.
