The My Reports feature allows company users to build custom reports that will be saved in this section for future reference. This feature is designed to provide users with the flexibility to build reports that support their specific immigration program allowing for robust reporting capabilities.

If you are looking to build a custom report that includes all of the upcoming expirations for active employees in the Envoy Global platform, you can get started in My Reports by using the below template. Please note that the user role of "Division Administrator" will only be able to view employees located within the divisions for which they have specific access.

U.S. inbound nonimmigrant visa expirations template

To build an upcoming nonimmigrant visa expirations report for in My Reports, follow the below steps. We typically recommend opening nonimmigrant visa extensions 6-8 months in advance of the employee expiration, so employees that appear on this report may be eligible to start their extension. We recommend using the data fields exactly as they appear in the template. 

  1. Go to the Analytics tile from the company home page.
  2. Click on the My Reports tab. 
  3. Select Build Custom Report.
  4. From the left menu, enter the below measures into the Find columns search bar. Select the measure checkbox, then click the filter icon to apply the correct filter. Then, select Apply.
    1. Employee Active Flag - Filter: 'Yes' 
    2. Visa Status Country - Filter: 'United States'
    3. Employee Visa Status - Filter: Exclude 'No U.S. status' and any other irrelevant non-U.S. status
    4. Employee Status Expiration Date - Filter: Rolling, Next 8 Months

       

  5. Enter the following data fields exactly as they appear below into the top Search bar. Click on the data field to add it as a column to the report. 
    1. Division Name
    2. Employee Account Number
    3. Employee Full Name
    4. Employee Visa Status
    5. Employee Status Expiration Date_Filter (once this data field is added, then type 'daily' next to it, to ensure you can filter it by date once the report is built)
    6. Max-Out Date_Filter (once this data field is added, then type 'daily' next to it, to ensure you can filter it by date once the report is built)
    7. Cases In Progress
  6. Click Go.
  7. Once the report is built, click on the field within the report Employee Status Expiration Date_Filter to sort Ascending. This will ensure that expirations expiring sooner show up at the top of the report. 

U.S. inbound max out expirations template

To build an upcoming max out date report in My Reports, follow the below steps. This report will show employees with a max out in the next 7 years, meaning they might be eligible to begin the Green Card process. We recommend using the data fields exactly as they appear in the template. 

  1. Go to the Analytics tile from the company home page.
  2. Click on the My Reports tab. 
  3. Select Build Custom Report.
  4. From the left menu, enter the below measures into the Find columns search bar. Select the measure checkbox, then click the filter icon to apply the correct filter. Then, select Apply.
    1. Employee Active Flag - Filter: 'Yes'
    2. Case Jurisdiction Country - Filter: 'United States'
    3. Green Card Step in Progress - Filter: Include '{Empty}'
    4. Max-Out Date - Filter: Rolling, Next 7 Years
  5. Enter the following data fields exactly as they appear below into the top Search bar. Click on the data field to add it as a column to the report. 
    1. Division Name
    2. Employee Account Number
    3. Employee Full Name
    4. Employee Start Date_Filter (once this data field is added, then type 'daily' next to it, to ensure you can filter it by date once the report is built)
    5. Birth Country
    6. Employee Visa Status
    7. Max-Out Date_Filter (once this data field is added, then type 'daily' next to it, to ensure you can filter it by date once the report is built)
  6. Click Go. 
  7. Once the report is built, click on the data field Max-Out Date in the report to sort is Ascending. This will ensure that employees with a max-out date approaching sooner will appear at the top of the report. 

International expirations template

To build an upcoming expirations report for international statuses in My Reports, follow the below steps. This report will show employees with an upcoming international status who may require an extension case to be opened in Envoy Global. We recommend using the data fields exactly as they appear in the template. 

  1. Go to the Analytics tile from the company home page.
  2. Click on the My Reports tab. 
  3. Select Build Custom Report.
  4. From the left menu, enter the below measures into the Find columns search bar. Select the measure checkbox, then click the filter icon to apply the correct filter. Then, select Apply.
    1. Employee Active Flag - Filter: 'Yes'
    2. Document Country - Filter: Exclude '{Null}', '{Empty}', United States
    3. Document Type - Filter: Exclude '{Null}', '{Empty}', 'Passport Expiration', 'Color Copy of Passport', 'I-797 Expiration', or any other U.S. documents.
  5. Enter the following data fields exactly as they appear below into the top Search bar. Click on the data field to add it as a column to the report. 
    1. Division Name
    2. Employee Account Number
    3. Employee Full Name
    4. Document Country
    5. Document Type
    6. Expiration Date_Filter (once this data field is added, then type 'daily' next to it, to ensure you can filter it by date once the report is built)
    7. Cases In Progress
  6. Select Go. 
  7. Once the report is built, click on the data field Expiration Date_Filter in the report to sort Ascending. 

Editing headers, formatting, and sorting

To edit the header of a column, simply click on the header and edit the text. To save the change, click off of the header and it will save automatically. Once a header is updated, it will reflect on the report moving forward, but it will not change the name of the corresponding data field. 

To rearrange columns, drag the column to the desired location. 

To sort a column on the report, click on the header and sort options will appear. For more complex filtering and sorting capabilities, we recommend downloading the report from three dots (edit option) to edit it using Excel or another program. 

Sharing custom reports

Reports built in this feature can be shared with any colleagues who have Company Administrator, Division Administrator, or Analytics user roles. To share a report, follow the below steps: 

  1. Click the three dots at the top of the report and select Share. 
  2. Enter the email address of the user you would like to share the report with. 
  3. Select their editing permission Can View or Can Edit. 
  4. Click Share.

They will receive an email notification that the report was shared with them. When they log into the Envoy Global platform, the report will appear under the My Reports tab.

Please note that users with Division Administrators access will only be able to data relevant to the divisions that they have access to.
