Groups are customized filters for your data, allowing you to organize employer colleagues and employees in a manner that works best for you. With just one click, you can zoom in on a particular set of employer colleagues or employees or zoom out to see employer colleagues or employees across multiple divisions.
Creating a Group
Users can create groups by selecting their avatar icon on the top right corner of the screen and selecting Administration from the drop-down menu. On the next page, select the Groups tab.
There are two types of groups that can be created: Rule Based and Custom.
- A rule-based group automatically includes employers and employees across all divisions who match the selected rule(s), such as visa type, cost center, etc. This means that an employer or employee can show up in multiple groups, such as an H-1B group and a Chicago Office group.
A custom group requires that the Company Admin select the employers and employees to be included in the group. This feature gives the Company Admin flexibility to create a unique group, such as half the employees in a division, who can then be managed by a specific colleague.
For both Rule-based and Custom groups, Company Admins select colleagues who can see the newly created group. Groups do not override the colleague’s permissions. For example, if a rule-based group includes employees from multiple divisions and a colleague only has access to one division, that colleague will only see employees from the division they have access to when they review the group.
Group Options
Review the chart below for all Group options available in the Envoy Global Customer Workspace.
| Group Type | Group Description |
| Visa Type | Create a group based on one or more visa type(s). Any employee maintaining the visa type will be automatically added to the group. This applies to past statuses, current cases, and cases opened in the future. |
| Cost Center | Create a group based on one or more of the cost center(s) you are using for employees. The Cost Center is a field that can be added to an invoice. The value can be added in the Billing account settings. This applies to employees currently assigned to cost centers and employees added in the future. |
| Department | Create a group based on one or more of the department(s) you are using for employees. A Department can be added in the Job section within the Employee Account. This applies to employees currently assigned to departments and employees added in the future. |
| Job Location | Create a group based on one or more of the job location(s) you are using for employees. This applies to employees currently assigned to job locations and employees added in the future. |
| Case Stakeholder | Create a group based on HR users who serve as Case Stakeholders, including Point of Contact, Signatory, Case Manager, etc., for specific employees. This allows HR users to only review messages and cases for employees they manage. |
| Custom | If none of the options above are appropriate, create a Custom group and manually add from a list of employees you have access to. |
Using Groups
Using a group is as simple as clicking the group icon at the top of the page and then selecting a group from the drop-down menu. The menu will only show group(s) the user has access to. For some, only the custom or rule-based groups will be displayed.
For others, the menu will also show division(s) if the user’s access allows them to see all employees in a division. After selecting a group name, the pages are filtered to only show employees within the selected group that the user has access to.
Remove the filter simply by selecting All Groups from the group menu. The pages will then show all employees the user has access to manage.
