Adding colleague users

Colleague Roles help determine the level of access a company user has to the Envoy Global platform. Roles determines which features a user can access in the platform. Groups determine which employees a user can manage. Learn more about creating Groups here. 

By using roles and groups you can specify which employees the user has access to and the actions they can take. For example, a Case Manager assigned to the Chicago Job Location group can manage all casework for employees in that group.

Creating colleagues is accessed by clicking the person icon in the upper right-hand corner and then selecting Administration > Users.

Colleague Roles

To add a colleague, click on + Add New. Once the user’s information (name, email, etc.) has been entered, the next step is to assign the colleague’s role. A role defines what the user can see and do in the application.

In Envoy Global, we’ve added roles for limiting users to specific features, such as only viewing reports. The roles are:

Company Administrator

This role provides full account access to all divisions and employees, including the ability to:

  • Manage all company and division settings

  • Add new colleagues and employees

  • Open cases and manage casework

  • Post & view messages in the Communication Center

  • Make payments and view bills

  • View reports and data analytics. 

Division Administrator

This role provides full account access to one or more divisions, including the ability to: 

  • Manage division setting and preferences

  • Add new employees

  • Open cases and manage casework

  • Post & view messages in the Communication Center

  • Make payments and view bills

  • View reports and data analytics. 

Case Manager

This roles allows access to specific employee accounts, including the ability to:

  • Add new employees

  • Manage casework

  • Make payments and view bills

  • Open cases

  • Post & view messages in the Communication Center. 

Recruiter

This role has limited access to the Talen Screening module, including the ability to:

  • Create new visa assessments

  • Open cases

Hiring Manager

This role has limited access to help manage the case workflow process, including the ability to:

  • Complete specific sections of the questionnaire

  • View specified employee profiles and account information

  • View messages in the Communication Center. 

Finance

This role has limited access to billing & reporting, including the ability to: 

  • View billing and payments

  • Make payments

  • Add a retainer and distribute charges

  • View reporting and analytics

  • Manage shipping accounts

Company IT

This role is intended for company users who need to manage security setting such as single-sign on, multi-factor authentication and activating/deactivating a user within the account.
